Default Instructions for Authors for Camera-ready Final Versions of ACL-03 Workshop and EMNLP Papers

These instructions are for all authors of all workshops at ACL 2003 and also for EMNLP-2003. Authors for the main sessions of ACL should please consult: http://www.cs.jhu.edu/~yarowsky/acl03/submissions.html

A. Authors must print the Copyright Transfer Agreement , complete it and return it along with their final camera-ready copies to the address specified by your workshop organizer.

B. Papers should be prepared according to the following guidelines:

The maximum length of papers is specified by each workshop organizer. If not specified, the default maximum length for workshops is 8 pages. Either US-Letter or A4 paper is acceptable. You MUST send us three hardcopies of your paper, printed *single-sided*. Electronic versions are not an acceptable substitute for the hard copies.

Formatting instructions: The strongly preferred mode of submission is to adhere to the latex style files included below. For those using other typesetting methods, center the title of the manuscript along with authors' names and their complete addresses at the top of the first page. Generally print all text, including titles and figures, in two-column format where each column is 3.15in by 9in and there is a 0.2in space between the two columns. Exceptions to the two-column format include the title and author information at the top of the first page and any full-width figures or tables. Text should be centered on each page. On US-Letter paper, this roughly means leaving 1in margins on left and right sides of each page as well as a 1in margin on the top and the bottom of each page. Type single spaced. Print on only one side of the page. Indent when starting a new paragraph, except the paragraph under a section heading. Use 11 points Times Roman for text, 14 to 16 points for headings and title.

Do not print page numbers. Instead, please number the pages clearly on the reverse side, lightly in pencil.

All style files for the submission of the final version are available as shown in the following table:

acl.bst

This includes our LaTeX style file acl2003.sty which implements most of the requirements. It is intended for use with the BibTeX acl.bst bibliography style. Be warned that use of these files on some systems may produce incorrect results. Therefore, verify that the margins and font size of your output conform to the guidelines. If they do not, you are responsible for making the appropriate adjustments. Some adjustments that may be useful are found here. If you discover some adjustment that we have not listed, please mail us what you have found so that we can add it to our list.

C. Three (3) copies of your final, camera-ready paper must reach your workshop organizer no later than the date specified on your workshop's web page.

Please note that we are working on a short time-line and the papers will need to be sent to the publisher soon after receipt. In order to guarantee that your paper is included in the final proceedings, we ask that you take care to ensure that the paper is RECEIVED by deadline specified by your workshop organizer on the workshop call for papers. Unless otherwise notified, you should send your hard copies to the same address as requested for the original paper submission.

D. The ACL proceedings will also be available on a CD-ROM. Therefore, in addition to the three hardcopies, you are also required to provide both pdf and postscript versions of your paper. The authors are responsible for ensuring that the suitable fonts are included when necessary in preparing the pdf file. If you are unable to produce pdf and postscript versions of your paper, please contact your workshop organizers as soon as possible.

The pdf (and postscript) files for the CD-ROM proceedings must also be submitted by 9:00 AM GMT on the same day that your camera-ready hard copy is due to your workshop organizers, and by May 25 if at all possible (this will help detect and correct any problems early). DO NOT DELAY ELECTRONIC SUBMISSIONS ANY LONGER THAN ABSOLUTELY NECESSARY.

All electronic submissions (including for the main sessions and student research workshop) should be made via the following URL: ACL Electronic Submissions Page.
