Contact Information

The contact person for this conference is

You may contact this person with questions about the electronic submissions process when other avenues fail.

This person is a volunteer, so please only contact him for problems not handled by the submissions server or this document. Do not contact the conference chair or program committee chair, as they do not have any control over the electronic submission process (other than to set guidelines).

Please do not ask the contact person to help you with system-specific problems, such as those with LaTeX, PostScript(tm), or your mailer. Such questions are best addressed to your system administrator or support staff.

We recommend that you test/use the system at least one week in advance of the submissions deadline so that we can notify you of any problems/changes. There is no penalty for registering a submission that you do not send, nor for submitting and then withdrawing.

Submission Format

Authors should submit an extended abstract (not a full paper). The extended abstract should start with the title of the paper, each author's name, affiliation, and email address, followed by a brief (one or two paragraphs) summary of the results to be presented. This should then be followed by a technical exposition of the main ideas and techniques used to achieve these results, including motivation and a clear comparison with related work.

Format and length of the submission:

The abstract should not exceed 10 single-spaced pages (excluding bibliography) on letter-size (8 1/2 x 11 inch) paper and should be in single-column format, using at least 1 inch margins and at least 11-point font. If the authors believe that more details are essential to substantiate the main claims of the paper, they may include a clearly marked appendix that will be read at the discretion of the program committee. Submissions deviating significantly from these guidelines risk rejection without consideration of their merits.

Paper dimensions: US Letter (8½ x 11 inch) versus ISO A4

To authors working overseas: the submissions must be printable on US Letter paper. This is the default paper format in LaTeX 2e and dvips. However, if you work overseas, your system may have been modified so that the default is A4. If this is the case, you need to add the option "letterpaper" to "\documentclass" (without quotes):
\documentclass[letterpaper,...,11pt]{article}
so that LaTeX generates the proper margins. To create the right kind of postscript file from your .dvi file, you need to use the "-t letter" command line parameter in "dvips":
dvips -t letter mypaper.dvi

Submission Process

The submission process is fairly simple. Once you produced a Postscript(tm) version of your paper (according to the guidelines above), two email messages have to be sent to stoc05@sigact.acm.org: one for obtaining a registration key, and one for submitting the paper. If your submission needs to be revised, simply resend the second email message with the updated Postscript(tm) file (you do not need to register again). If you need to withdraw your submission, there is a special WITHDRAW email for that (see below for more information). There is no limit on the number of revisions, as long as they are done before the submission deadline. Further information can be found in the section on basic policies.

Obtaining a Registration Key

Only do this once for every paper! In order to register you paper, send an email message to stoc05@sigact.acm.org. The subject line of the email message has to contain the REGISTER command and the body of the message should read

authors: "and"-separated list of authors
title: title of document
contact: e-mail address
notes: eligible for best student paper (or leave empty, if not)
abstract: place your abstract here (up to 50 lines are accepted)

Note that the "notes" field is currently only used to indicate eligibility for the best student paper award. Other notes will most likely be ignored. Please add an abstract to your registration to simplify the job of the program committee to assign submissions to committee members. The abstract will not be used later in the review process. So don't worry if the abstract of your final submission deviates from the abstract you submitted when you registered. In an emergency, you can still withdraw your paper and reregister it.

For example,

% mail stoc05@sigact.acm.org
Subject: REGISTER
authors: Alice in Wonderland and Bob Hope and Charlie Chaplin
title: Random Walks
contact: alice@theory.edu
notes:
abstract:

We introduce a new technique to perform a random walk through Wonderland
that tremendously improves the exploration performance of previous
techniques.

returns a registration key that you will need to submit your paper. In this example, the key is alice.1234.ps:

From: stoc05@sigact.acm.org Thu Sep 8 19:18:41 2004
To: alice@theory.edu
Subject: REGISTER

Use the key 'alice.1234.ps' for your submission to TEST2005 with
authors: Alice in Wonderland and Bob Hope and Charlie Chaplin
  title: Random Walks
  contact: alice@theory.edu
  notes:
  abstract:

We introduce a new technique to perform a random walk through Wonderland
that tremendously improves the exploration performance of previous
techniques.

The submission software is quite flexible in accepting registrations. So, for example, the following registration would also work without problems:

% mail stoc05@sigact.acm.org
Subject: REGISTER
Authors: Primus and Secundus and Tertius and Quartus and Quintus
and Sextus and Septimus

Title: How to generate interesting Roman names

Abstract:

We show how to generate interesting Roman names efficiently so that Romans
do not have to call their fifth son Quintus any more.
The system would set the contact here to the address the email came from (though it is recommended to use the contact field), and the notes part is interpreted as being empty. The authors and title part are, of course, required.

Submitting the Paper

Next we explain how to submit or revise a paper. For this, the SUBMIT command has to be used in the subject line together with the registration key obtained above. The Postscript(tm) file of your paper can either be attached to the message (yes, attachments are possible now) or included in the body of the message. Also PDF files are accepted now, though they are not checked for correctness. The server will acknowledge the submission. The acknowledgement will include an MD5-generated receipt for the submission, as well as basic information on the file so that you can verify that it arrived "safely". The basic information includes sizes (in bytes), checksum, first and last ten lines of the file.

For example,

% mail stoc05@sigact.acm.org
Subject: SUBMIT alice.1234.ps
attach the postscript file (or PDF file) or insert it into the body of the message
returns the answer
From: stoc05@sigact.acm.org Thu Sep 8 19:18:41 204
To: alice@theory.edu
Subject: Submission of alice.1234.ps received.

Your paper with key 'alice.1234.ps' was received on Sep 8 19:27.
  It is 404918 bytes long.
  Its checksum is 23036.
  The receipt is: abcba4232hgada43232323

It does not seem to generate any PostScript(tm) errors.

The first ten lines of your file are:
...

The last ten lines of your file are:
...

Withdrawing the Paper

You can withdraw your paper by using the WITHDRAW command together with your submission key in the subject line of your email message. The server will confirm this withdrawal with the contact person for the paper.

For example, the answer to

% mail stoc05@sigact.acm.org
Subject: WITHDRAW theorist.1234.ps
would be
From: stoc05@sigact.acm.org Thu Sep 8 19:18:41 2004
To: alice@theory.edu
Subject: alice.1234.ps withdrawn.

Your submission with key 'alice.1234.ps' was withdrawn at the request of
alice@theory.edu.

Please send an email to stoc05@cs.jhu.edu if you did not withdraw your paper.

Checking the Status of the Submission

Finally, you can also check the status of your submission. For this, simply send an email message to stoc05@sigact.acm.org with the STATUS command in the subject line followed by your submission key.

Basic Policies

We will only accept papers in PostScript(tm) format sent via electronic mail. We will not accept submissions via ftp or http. All electronic submissions must be in printable PostScript(tm) form or PDF form and arrive by November 4, 2004, 5:59 pm EST. This is the same as the hardcopy deadline.

Unprintable PostScript(tm) files and late submissions will be rejected. PostScript submissions formatted for paper size other than 8.5 x 11 inch paper (US Letter), or with pages in nonascending order, also risk rejection without consideration of their merits. The committee accepts no responsibility for errors due to problems with the system, although we will do our best to make sure that no such problems occur. We request that you submit your paper as early as possible.

You may revise or withdraw your paper after submitting it. However, revisions must be received by the deadline. Withdrawals before the deadline can be done using the electronic submissions system. Withdrawals after the deadline will need to be arranged through the program committee.

Because of copyright restrictions, we request that authors only use standard LaserWriter fonts (e.g., Times, Helvetica, Symbol) or public domain fonts (e.g., the Computer Modern Fonts) in their preliminary submissions. For final submissions, it should be possible to use copyrighted fonts.

Security and Encryption

As with the hardcopy submission process, copies of electronically-submitted papers will only be read by members of the program committee and selected reviewers.

We do not plan to include a mechanism for encryption/decryption of submissions to STOC 2005. The primary reason for this decision is that the SIGACT community is honorable. Additionally, it is unlikely that we can provide sufficiently general cross-platform software that will not hinder the refereeing process.
